Privacy statement of Encavis Group regarding applicants’ data

The object of this privacy statement is to provide information on which personal data are processed on our website in conjunction with your application.

By sending the application form to Encavis Group, you consent to your data being stored and processed for the duration of the application process and to be used to contact you during this process. You cannot send your online application without this consent.

Encavis AG, Encavis Asset Management AG and Encavis GmbH constitute a group of undertakings within the meaning of Art. 4 (19) GDPR. With regard to the keeping of data and the implementation of the data protection regulations Encavis AG has controlling influence over the other entities. In terms of data protection, Encavis AG controls the processing of personal data in the entities of the group. A Data Protection Officer who can easily be reached from every branch has been appointed for the group of undertakings.

Scope and purpose of data processing

All data made available to us via the application tool will be processed exclusively to carry out the application and selection process and solely serve to assess your professional qualification and to get in touch with you. This includes your form of address, first name, last name, postal address, phone number, e-mail address, CV and data regarding your education and qualifications (Art. 6 para. 1 b) GDPR; section 26 BDSG). In the context of your employment, however, you need to provide only the personal data that are needed to establish, conduct and terminate your employment. Otherwise proper personnel management is not possible.  

Your application documents will be passed on only to the departments that need them for assessing your application and for recruitment (HR Department, department that posted the job advertisement, Legal Department, Management Board of Encavis AG, Management Board of Encavis Asset Management AG, management of Encavis GmbH). For this purpose, we are supported by a technical service provider, d.vinci HR-Systems GmbH, Nagelsweg 37-39, 20097 Hamburg. State–of-the-art technology is used to encrypt the data transmitted. Beyond this, we do not pass on any personal data to third parties. In justified individual cases, however, it may be necessary for the purpose of carrying out and processing the application that your personal data is passed on to further external service providers who are carefully selected by us. However, your personal data will only be passed on to the extent necessary for the processing of the order.

Your application data will be used exclusively for application processes of Encavis Group. To protect the personal data submitted to us as part of the application process, Encavis AG and its affiliated entities comply with the legal provisions of the General Data Protection Regulation and the Federal Data Protection Act. All necessary technical and organisational security measures are taken to protect your data against loss and abuse. The data and files submitted by you will be stored and used exclusively for purposes related to recording and processing your application.

Storage of your application data, right to request information and request for deletion

By sending your application, you consent to your application data being stored. Your data will be deleted six months after the end of the application process. You will receive no separate notification of the deletion. You may revoke your consent regarding the storage of your application data and request your data to be deleted earlier, but no earlier than five months after the end of the application process. We must store your data for this period to comply with the legal requirements regarding the proper processing of applications. Should you want your data to be deleted after expiry of the 5-month period, please send an e-mail to jobs@encavis.com or write to our postal address.

The above also applies to an unsolicited application, i.e. when you do not apply for an advertised position, or when sending your application data by mail or e-mail.

Review of alternative employment options

Every application received will be reviewed for other employment options within Encavis Group. We may therefore pass your profile on to other specialist departments of Encavis Group. If you do not want this to happen, you may object at any time. This may be done in writing or by sending an e-mail to jobs@encavis.com.

Your rights

You have the right to obtain from us confirmation as to whether or not we process your personal data and the right to information about such personal data. You also have the right to rectification, to erasure and to restriction of processing of your data as well as the right to object against the processing of personal data and/or to withdraw your consent to the processing of your data at any time or to request the transfer of data. Please send all requests for information, inquiries, withdrawals or objections by e-mail to our Data Protection Officer or to the above contact details. In addition, you have the right to lodge a complaint with a supervisory authority in the event of a data breach.
